Client Liaison Administrator |
An opportunity has arisen to work at our oak framing construction site based in Malmesbury, Wiltshire. At Made in Oak we design and make traditional oak frames and structures for commercial projects and private homes and gardens. Our frames are machine cut and hand finished before being assembled pre-delivery or installed onsite.
Our company has grown significantly over recent years and as part of the company's continued growth plan, the business is now recruiting a Client Liaison Administrator to help it achieve its future ambitions. In this role you will be the first point of contact for our customers, responsible for client communications and assisting with enquiries and queries on email, phone and face to face.
This new role would suit someone who is able to work on their own initiative, as well as supporting our busy team.

Part time – 9am-3pm (30 hours per week) Monday – Friday
Monday to Friday
Permanent (subject to passing a 3-month probation period)

Job description
- Be the first point of contact for our customers
- Deal with day-to-day client requests via telephone and email.
- Follow up on quotes and keep in regular contact with each client
- Deliver a professional, supportive and client focused service
- Liaise with carpenters/clients/architects etc. to check on progress and understand their timescales
- Coordinate with other team members so work flow remains on schedule.
- Liaise with contractors and suppliers to enable smooth delivery of service
- Arrange site visits and meetings where appropriate, keeping the calendar up to date
- Ensure specific customer requests are visible, understood and communicated to all the team
- Organise and file project related paperwork
- Chase late payments, send out invoices and payment schedules
- Use SharePoint to track progress on each project
- Check stock levels and assist with ordering additional fixings/components when required
- Support the work of the Director and Designers with administrative tasks.
- Update social media sites regularly
- Any additional duties as required
Person must be/have
- Must be IT literate with competent use of Microsoft systems, particularly excel formulas
- Be able to communicate clearly and politely with the team, clients and other professionals
- Be highly organised and able to demonstrate excellent customer service skills
- Experience with Sage Accounting Software useful but not essential
- You must be eligible to work in the UK
